The success of our annual dances depends upon not only the support of the dancer population but the support of the member clubs of EOSARDA.
To continue to make these dances successful and enjoyable for our dancers, EOSARDA Board members need your Club's help with and the various tasks associated with putting on a dance of this size. EOSARDA is responsible for the overall organization of the dances.
Depending on the location of the dance, tasks will vary some, but in general, the support Club(s) would be asked to take care of such tasks as with suggested number of couples needed to cover:
- Decorations / Banners / Signs for washrooms, coats, etc. - put up/take down,
- Tables for entrance Registration, Advance Sales and Share the Wealth (50/50), refreshments, flyers, and water/Stage (riser) - setup/takedown,
- Seating in dance halls - setup/return benches and/or chairs. Three couples for the above listed tasks.
- At Door Sales - Welcome, Registration and Sign-in table (sign-in sheets, sell ribbons as required, receive money and make change. Money will be counted by EOSARDA Treasurer after the dance - Three couples on a shift rotation basis.
- Advance Sales Envelope Returns (contents will be counted by EOSARDA Treasurer after dance) & Reserved Tickets table (sign-in sheets and receive money and make change as required) - Two couples on a shift rotation basis.
- Share The Wealth or 50/50 Draw sales - sell tickets, split tickets, receive money and make change as required. Money will be counted by EOSARDA Treasurer before the draw - Three couples on a shift ritation basis.
- Refreshments set-up; coffee, tea and cookies. One couple to setup and monitor periodically throughtout the dance.
- Water set-up. One couple to set up and monitor periodically throughtout the dance.
- Other duties as may be required and directed by the Dance Chairperson(s) to ensure the dance is a success and enjoyed by the dancers. Of course, the more people you have the lighter the load for everyone.
Financial control to handle float money, count revenue and provide money security is usually done by the EOSARDA Treasurer who will work with the Dance Chairperson.
If all EOSARDA Clubs in Ottawa and surrounding area provide their support, each Club would volunteer once every three or four years. The larger Clubs are asked to take the initiative and book their Club. Smaller Clubs are encouraged to team up with another club(s) large or small to support these dances, as well.
